Step 1 -Checking of the due test equipment

Which of your test equipment is due for calibration? If you have several pieces of test equipment that are due for calibration, you may be able to save shipping costs by sending the test equipment to us together in one package. It is completely irrelevant to us whether the test equipment comes from the area of weights, balances or instruments - these are checked by us after receipt of goods and passed on to the appropriate laboratory area.

Step 2 - Completion of the KERN order form and the safety confirmation for crane scales >50 kg

To ensure that we receive all the information relevant to us for order entry, we already request this in our order form.
We therefore recommend that you complete our order form and enclose a printed copy with the delivery.

Please also indicate your individual requirements for calibration orders on the order form. You can find a list of such requirements here.

This helps us to process your order as quickly as possible without any queries and to return your test equipment to you promptly.

Are you sending in a crane scale with a maximum load of more than 50 kg? Then we ask you to enclose our safety certificate filled in with the delivery. This way we can start the calibration immediately after the delivery arrives. If the safety certificate is not enclosed, it must be requested beforehand after the arrival of your delivery, which will extend the processing time of your order.

Step 3 -Packing and shipping of the delivery

Now you can pack your test equipment well & safely together with our order form and gladly also your order and/or your cover letter. It is not necessary to enclose the old calibration certificate if the test equipment has already been calibrated in our laboratory - we have access to the calibration certificate of the last calibration at any time by means of the calibration mark affixed to the test equipment.

Finally you can now initiate the delivery.

Have you requested an express calibration for your delivery? Please attach our supplement for express calibration clearly visible on the outside of the package. This way, it will be forwarded without delay to the corresponding laboratory area and processed directly.

Step 4 -Arrival of the delivery at the calibration laboratory KERN

As soon as your delivery has arrived at KERN & SOHN, it is forwarded to the calibration laboratory. Here, an incoming inspection is first carried out and the data of your accompanying documents - ideally our order form - is recorded. As soon as we start processing your order, you will receive an e-mail from us to the e-mail address specified in your accompanying documents. On our order confirmation you will find all items and prices as well as the expected shipping date.

Please note that there may be one or more days between the arrival of the delivery at KERN & SOHN and the start of order processing. This depends, among other things, on the order volume in the laboratory. We therefore ask you for a little patience with regard to the receipt of the order confirmation.

Step 5 -Calibration of your test equipment

After you have received the order confirmation for your delivery, we will start directly with the calibration of your test equipment. If, contrary to expectations, any discrepancies should arise, we will contact you directly using the contact details you provided on the accompanying documents.

We will also contact you if

  • weights are out of tolerance and need to be adjusted or replaced (for more information on possible rework on weights, click here)
  • your scale or instrument is out of tolerance and needs adjustment
  • your scale or instrument is defective and needs to be forwarded to our service department

In order to avoid these queries and to keep the processing time as short as possible, you have the option of directly issuing a release (also with a price limit) on our order form. If you have noted this information, we will carry out any necessary measures directly and without further enquiry and can return your test equipment to you as quickly as possible. Step 6 - Return of your test equipment

After successful calibration, we return your test equipment together with the calibration certificates to the delivery address you specified.

Step 7 - Completing & submitting the recalibration reminder form

We will be happy to remind you to recalibrate your test equipment after the recalibration period specified by you has expired. For this purpose, you will receive a recalibration reminder form with our return shipment - together with the calibration certificate - which you can fill out and send to us. One month before the expiry of your individually definable recalibration period, which can be specified on the form, you will receive a reminder from us to recalibrate your test equipment.
